Project Description:
We are New Zealand based looking for a CMS to keep a record of all contacts and history information for our stakeholders, we requires one single system to provide the central repository of all our staff stakeholder contacts data and contact history. The system must:
1) Be easy to use i.e. easy to store, share, retrieve and maintain contact details
2) Be quickly and easily accessible by all staff whether in the office or working remotely
3) Be reliable and provide secure access to our systems and information
4) Be able to also include operational suppliers (e.g. data from the financial system) and employees as stakeholders. Private contact information however needs to stay outside of the system/repository
5) Natively integrate with Microsoft Outlook.
6) Capture interactions, activities and the nature of the relationship with the various stakeholders, and any other stakeholder information as relevant
7) Link into our Electronic Document and Records Management System (Autonomy Worksite) connecting to other recordings with the stakeholder (e.g. minutes/letters/email correspondence)
8) Produce mailing lists for the dissemination of resources, annual newsletters etc
9) Filter specific stakeholder information and to generate reports on past activities and dealings with stakeholders
10) Receive proactive alerts and reminders where no communication with the stakeholder has taken place
11) Assign a lead key user/user group as the owner of individual stakeholders and/or stakeholder groupings e.g. organisations and or a whole sector
12) Customise fields in the system
