We are Australia based Organization looking for Experienced and skilled companies to provide Telephone Enquiry Service related to elections, calls from australian people We need these service in 2 Phases A) During the enrolment phase 27 September to 8pm Tuesday 9 November Approximately we got 12000 call in 2006 B) During the actual voting phase 15 November to 27 November (the peak was 21060 calls on election day and 18158 the day before)
The Vendor will manage all aspects on our behalf:
1) Recruit appropriate telephone enquiry staff; Estimated call volume may be
280000 calls,
2) Develop an appropriate plan for staffing resources based on previous
statistics, hours of operation and election timetable;
3) Manage appropriate staffing levels to maintain required levels of service;
4) Ensure telephone enquiry staff meet our requirements in relation to
impartiality (see Attachment B)
5) Train telephone enquiry staff in telephone operating techniques and electoral information;
6) Supervise telephone enquiry staff;
7) Establish the IT and administrative infrastructure;
8) Implement technology-based information systems to facilitate call
responses;
9) Produce daily reports on the telephone enquiry service, covering KPIs and
call categories;
10) Establish the telecommunication facility to re-direct calls to the VEC, and
to telephone interpreters at the Victorian Interpreting and Translating
Services (VITS)
11) An IVR system for pre-recorded messages (that will change by campaign
phase)
12) Provide options message deposit system and on-hold message service;
13) Answer election email queries;
14) Provide fulfillment services e.g. forms, information brochures; and
15)Capture information accurately e.g. satisfaction with service, non-voting
excuses, postal vote application requests.
